Routine inspections, entry notices, and keeping the report where the next person will look.
An inspection is scheduled against the property and completed against the tenancy. That way the history reads by address — which is what a landlord asks about — while each report stays attached to the tenant it concerned.
Entry notices
The notice the Act requires is generated with the right period, dated, and filed. It is not a reminder to send one; it is the one that was sent.
The report
What was found, with photographs, against the rooms it was found in. Anything that needs action becomes a maintenance item rather than a line somebody has to re-read.
The schedule
Routine inspections recur on the period the agreement sets. What is due, what is overdue and what has just been done are on the dashboard, by property and by manager.
