Verifying who you are dealing with, recorded where it is provable.
An identity check is recorded against the party and the engagement — not filed in a folder, and not remembered. What was checked, by whom, and when.
When
Before you act for somebody. Briesa surfaces the check as an obligation on the engagement, so an unverified party is visible on the file rather than discovered later.
What is kept
The fact of the check, its date, who performed it and what kind of document was sighted. Briesa deliberately does not become a store of identity documents you did not need to keep.
Privacy
Whatever is collected has a collection notice, and the notice is in the privacy register. See The registers.
